Linkages: IHS

IHS is a linkage performed by the US Indian Health Service to identify Native American Indians with cancer in the KCR database.

A complete file of submission records is sent to the agency, who returns a file of identified patients.

The status of the linkage is maintained in the central registry in SEER*DMS. Records are maintained for each patient sent to IHS. All returned matches are also indicated.

Process

• The IHS Linkage is conducted around the same time the Fall (November) SEER Submission is run
• The NDI extract is generated when creating the SEER Submission Extract
  
• In SEER*DMS, Run Report EXT-02 - SEER Submission Extract
• Make sure IHS Linkage File is Selected with Yes
• Upload to: https://webplus.ihs.gov/logonen.aspx (Request login/password from Melissa Jim)
• Email Melissa that file has been uploaded

• Melissa Jim will notify when results are ready
• Store Results in J:\linkages\IHS
• Generate Mass Changes to import into SEER*DMS to update central registry
  • Review Mass changes from previous years for syntax
  • Create a mass change for all linked patients reported in results from IHS
  • Create a mass change for the rest of patients that were not linked
    • Load all the id's submitted for IHS in a database table the id list generated in EXT-02 earlier
    • Load all the id's returned from IHS that linked
    • Generate a list of all ids submitted but that were not linked using the (2) tables
• Load Mass Changes in SEER*DMS
  
  • System→ Imports & Data Entry
  • New File Import
  • Facility → 1 KCR Central
  • Import Type → Mass Change - comment (IHS Linkage from Nov 20XX SEER Submission)
  • Review any rejected records and correct if necessary
  • After successful import, review results against results documentation from IHS
